This Privacy Policy explains how your personal data and images are handled in connection with your online photo gallery delivered by Tracy M Thomas Photography.

1. What Information We Collect

When you access your gallery, we (and/or the gallery platform) may collect:

  • Your name and email address (if required for login or delivery)

  • Download activity (e.g., number of times images are downloaded)

  • Basic technical info such as device, browser, or IP address for performance and security monitoring

We do not collect sensitive payment information through the gallery platform unless it includes a built-in store (see section 5).

2. How We Use This Information

We use this information to:

  • Provide you with secure access to your gallery

  • Notify you of gallery expiration or image downloads

  • Monitor unauthorized access or misuse

  • Assist with technical support if needed

This information is never used for advertising or sold to third parties.

3. Image Privacy & Access

  • Your gallery may be password-protected or accessible only via a private link.

  • You may share your gallery link with family or friends at your discretion.

  • Images may be used in the photographer’s portfolio, website, or social media unless you have specifically requested otherwise in writing.

  • If privacy is requested, we will honor your decision and keep your images confidential.

4. Image Downloads

  • You (the client) have permission to download high-resolution and/or web-size files for personal use.

  • Download activity may be monitored to ensure gallery security and copyright compliance.

  • You are responsible for managing who has access to your download link or password, if applicable.

5. Online Print Orders (if applicable)

If your gallery includes an online store:

  • Orders are processed securely by the gallery platform or its partnered print lab.

  • We do not have access to your full payment details.

  • Basic order information (name, delivery address, order contents) is visible to the photographer for fulfillment purposes.

6. Data Retention & Gallery Expiry

  • Galleries are typically available for 2 months. After this time, access may be removed.

  • Images may be archived by the photographer for up to 1 [one] year after expiration, but this is not guaranteed.

  • Reactivation or re-upload requests may incur a fee.

7. Third-Party Platforms

Your gallery is hosted on a trusted platform such as [Pixieset / Pic-Time / ShootProof], which may have its own privacy policy. We encourage you to review their terms for additional information on data handling and cookies.


8. Your Rights

You have the right to:

  • Request information about what personal data we store related to your gallery

  • Request corrections or deletion of personal data (unless legally required to retain it)

  • Request that your gallery be deleted at any time
